Updating an ISRCTN record

Why does a record need to be updated?
Although CCT does not ask for regular updates to any trial record in the ISRCTN register, sometimes it is necessary for trial record details to be updated. This can be due to many reasons, including a need to change the record once the ethics approval has been granted, updating the start and end dates of the trial to factor in delays to the start of the trial, and updating the funder and sponsor details if the trial has been extended, and the previous funding has run out.

Another reason for an update to a trial record can be due to an evolution in the WHO 20-item minimum dataset, and the ICMJE guidelines. In the case of an update to these guidelines, the principle investigator of a trial held in the ISRCTN register may wish to update their record to ensure that it is in line with these guidelines.

Some of the older records held in the ISRCTN register may not be completed according to today’s WHO 20-item minimum dataset, simply because not all of this information was required at the time of registration. In a case such as this, CCT will try to contact all record holders to ensure that their trial information is completed. If you request an update to an older trial, CCT may take the opportunity to request a larger update to ensure that your record complies with current WHO/ICMJE guidelines.

How is the record updated?
In the interest of data security and validity, CCT does not allow applicants to update their own data directly. Instead, CCT will make the changes requested to the trial record, and a member of our editorial team will inform you when these changes have been performed.

Please note that CCT does not remove information from a record, or overwrite previous information, but will instead add any updated information, along with a date stamp to show when the changes were made to the trial record. For example, a change to the trial inclusion criteria would look like:

Inclusion criteria amended as of May 2007:
1. Etc.,

Previous inclusion criteria provided at registration:
1. Etc.,

Any large or major changes to a trial record can be discussed with a member of the editorial team before the changes are made, to ensure that all parties are satisfied with the changes.

How will I know when the record has been updated?
Once CCT have been informed of your requested update, a member of our editorial team will make the updates to your trial record, and will inform you via email once these are done. A link to your trial record will also be provided to ensure that you can check over the changes. If there are any questions on the nature of the update, a member of our team will contact you to discuss these updates.

Is there a charge to update an ISRCTN record?
There is no administration charge for an update to a trial record, as updates to a record are included in the original administration fee paid on entry to the ISRCTN register.

How long will it take for my record to be updated?
An update to a trial record can usually be performed within two working days, depending on the size of the update
